This job is responsible for providing advanced administrative skills in the support of a director or department! .
Essential Duties and Responsibilities
Assist department management in completion of annual merit reviews; process on-line payroll timesheets for department; process confidential paperwork such as Payroll Notifications, Requests for Personnel, and counseling documents; ensure compliance with Administrative, Human Resources, and department policies and procedures as well as Joint Commission standards, employee education standards and employee health checks.
Participate in the development of the annual operating and capital budget for the department.
Develop and implement new office management procedures according to changing office situations in order to streamline or automate processes, or eliminate conflict/duplication.
Direct the administrative services of the department including computer programs, processing, telephone, printing, filing, mailing, and the distribution of office supplies; ensure appropriate staffing levels are main! tained; arrange for temporary clerical staff as appropriate to! ensure production levels are maintained or special project deadlines are met.
Prepare correspondence and reports requiring some understanding of technical matters; respond to routine and non-routine inquiries using standardized policies and procedures;
Performs other administrative duties and special projects as required.
Qualifications
Education
Two years of college or secretarial school is preferred. Associate's Degree or secretarial certification preferred.
Licenses & certifications
Experience
Five years of secretarial or other relevant experience, preferably in a hospital or service environment, is required.
Minimum of one to two years office management experience is required.
Specific knowledge, skills and abilities
Advanced knowledge and experience in using personal computers and multiple software applications such as Windows, Microsoft Word, Excel, Access, PowerPoint, Novell Gro! upWise, WordPerfect, Lotus, dBase, and Harvard Graphics.
The ability to hear and communicate with others in a clear, understandable, and professional manner on the phone and in person.
The ability to work on multiple projects and to establish appropriate priorities, and the ability to recognize what needs to be done and initiate activities without direction.
The ability to interact effectively with peers, executive and medical staff, patient families, vendors and other customers in a manner that represents Children's positively.
The ability to recognize and safeguard confidential information.
Skill and experience in making sound business judgements.
Physical demands
Requires the ability to work in an office environment with frequent interruptions.
Requires the physical coordination to use a keyboard or keypad on a regular basis.
