Description: Texas Department of Family and Protective Services is at the momment seeking for Administrative Asst II right now, this vacancy will be reside in Texas. Completes data entry for all received fair hearing and program violation cases. ! Schedules appointments and prepares appointment notices. Types decisions, reports and/or correspondence, including appropriate mailing of letters and notices. Responds to all inquiries and/or forwards the information to the appropriate person. Organizes and maintains files and prepares statistical reports.Completes other duties as assigned by the hearings manager.
Essential Job Functions:
Attends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned.
Receipt of and processing of Petitions for Hearing (receipt, checking for accuracy, scheduling, and sending appointment notices).
Typing of correspondence and decisions.
Responding to inquiries from external and internal partners.
Data entry into computer data bases including MAPPER, TIERS, EXCEL
Producing statistical reports using Microsoft Office software.
Sorting and distributing mail and correspondence (includes fax! ing, copying). Communicating effectively with staff, appellant! s and their legal representatives to gather and convey information regarding the hearings process.
Knowledge Skills Abilities:
Knowledge of using personal computers, software, and data entry into complex data bases and use of Microsoft Software
Knowledge of Business English, including spelling, grammar, and punctuation.
Ability to compose correspondence, summaries, and other documents or reports.
Ability to proof and/or edit documents.
Ability to follow oral and written instructions.
Ability to work independently.
Ability to organize and prioritize work.
Ability to answer telephone calls in a professional manner and communicate information clearly and effectively to a wide variety of parties.
Registration or Licensure Requirements:
None required
Initial Selection Criteria:
Experience working in a generic administrative or clerical job.
Experience composing correspondence, analyses, s! ummaries, or other documents.
Experience using Microsoft Office software for word processing and/or composing documents and reports.
Experience using a personal computer for inquiry and data entry.
Experience handling inquiries.
Additional Information:
An interview and in-basket skills assessment test will be required. This position is available in San Antonio only.
